What is your appointment policy?
Cancellations
Please contact us to cancel an appointment as early as possible. Appointments cancelled less than 2 hours prior to the scheduled appointment will be counted as a no-show and the late fee will be charged. This is to allow our therapists to have the option to reschedule other patients into those spots. It is the parent’s responsibility to contact the clinic if their child will be absent from their therapy appointment. This includes off-site locations (daycare, etc.) and if other services are cancelled (ex: respite, ABA, etc.).
Consistent therapy is necessary for children to make progress in therapy. If 50% of appointments, without an attempt to reschedule, are missed within 8 weeks, therapy will either be reduced in frequency or discontinued.
Evaluations are important to the initiation of therapy. If an evaluation must be missed, one reschedule is allowed to make up the appointment. If an additional cancellation or no-show occurs, the child will be moved to the waitlist.
Late Arrival
Timeliness is important for treatment to be effective. If your child is more than 10 minutes late for their therapy appointment the session will be cancelled, and the no-show fee will be charged.
Late Pick-Up
Our therapists maintain full schedules so timeliness is important for picking up children. Currently, we do allow families to drop their children off and leave however it is important for timely pickup after therapy sessions are finished. If a child is picked up greater than 5 minutes after their therapy session a verbal reminder will be given. After a second late pickup, the caregiver will be responsible for staying during future sessions.
No Shows
If three appointments are missed (within a calendar year) without contacting the therapist prior to the session, a letter will be sent to the child’s caregivers. After the next session is missed, the child’s caregivers will be contacted, and therapy services will be discontinued. If requested your child will be added to the waiting list and contacted when services are available.
No-show appointments will be charged $30 per missed visit.
